Part 5: Creating Eloqua SFDC custom web links

Creating SFDC Custom Weblinks
The Eloqua-SFDC Integration includes the installation of Custom links to the SFDC Lead and Contact table. These links, accessible to all SFDC users, are Add to Eloqua, Unsubscribe from Eloqua, and Activity Overview.
There are two types of weblinks that can be created, depending on whether the SFDC User accessing the link has an Eloqua login. To determine which type of weblink to create, find out from the client whether:
- ALL of their SFDC Users will be using an Eloqua Sales Tool, such as Eloqua Profiler, Eloqua Discover, or Eloqua Engage. If so, you will ‘Create Web Links’ that require each person accessing the weblink to have an Eloqua login.
- NONE of their SFDC Users will be using an Eloqua Sales Tool (ie. client has not purchased any from Eloqua). In this case, you will ‘Create Weblinks with User’, using a generic Eloqua user that is only setup for the purposes of allowing SFDC Users to utilize the Eloqua weblinks.
- SOME of their SFDC Users will be using an Eloqua Sales Tool and have an Eloqua login and SOME will not have an Eloqua login. In this scenario, BOTH types of weblinks will need to be created and the SFDC Admin will then have to have two different page layouts for Contacts and Leads with the appropriate weblink placed on each. If both types of weblinks are being created, you will either need to rename the first set of Eloqua web links in order to create the second set OR provide a txt file with the link URL for the second set.
To create SFDC Web Links [for SFDC Users that have an Eloqua login]:
- Navigate to Settings > Setup > Integration.
- Click the Configuration tab.
- From the Configuration sub-menu, select Manage CRM System Users.
- Salesforce should appear as a CRM System.
- From the drop-down arrow next to Salesforce, select Web Links.
- Depending on the client’s decisions, check off the necessary boxes in the Create column under “Create CRM Web Links”. Three of these links are for SFDC Leads; three are for SFDC Contacts.
Note: During the Integration wizard, the Contact Activity Overview and Lead Activity Overview web links are automatically created in SFDC.
- Click on Create Web Links.
- You will receive a success message, letting you know that Weblinks have been successfully created.
To create SFDC Web Links With User [for SFDC Users that do NOT have an Eloqua login]:
First, create a new Eloqua User ‘SFDC.Integration’. This user’s credentials and encrypted password will be used to login to Eloqua through the SFDC Custom Links area, allowing anyone who clicks on the weblink to perform the desired activity.
Please ensure that the user has the following details:
Tip: Enter your email address in order to receive the User Creation email with the password. Once you’ve received the password, change the email address to your client’s Eloqua Administrator.
- Selected Security Groups = Everyone, Basic Users – Marketing
- Licensing = Eloqua Marketing Platform
Note: If you are not familiar with user creation, refer to the Eloqua Setup Guide for step-by-step instructions.
To create SFDC Weblinks:
- Navigate to Settings > Setup > Integration.
- Click the Configuration tab.
- From the Configuration sub-menu, select Manage CRM System Users.
- Salesforce should appear as a CRM System.
- From the drop-down arrow next to Salesforce, select Web Links.
- Depending on the client’s decisions, check off the necessary boxes in the Create column under “Create CRM Web Links”. Three of these links are for SFDC Leads; three are for SFDC Contacts.
Note: During the Integration wizard, the Contact Activity Overview and Lead Activity Overview web links are automatically created in SFDC. In order to ‘Create Web Links with User’, you need to either manually delete or rename these weblinks in SFDC. Then click ‘Refresh Web link List’.
- Click on Create Web Links with User.
- Select the SFDC. Integration user you created earlier and enter the password for this user.
- You will receive a success message, letting you know that Weblinks have been successfully created.
Note: These newly created links will be available in the custom links/buttons area in SFDC for addition to pages layouts selected by client. This tool does not automatically add these links to page layouts. Please contact SFDC if you are not familiar with updating/modifying existing Contact and Lead page layouts.
